Spreadsheets can help you calculate values from data using various formulae. They can also be used for data modelling and the visual representation of data.
If you need to print the worksheet you're viewing, simply go to the print panel and select Print Active Sheets. If you want to print the whole spreadsheet, select Print Entire Workbook. Once you have completed your spreadsheet, you can preview how it will look by using Print Preview. You can change the margin width to make sure your spreadsheet looks correct.
Sometimes your spreadsheet may be too large, or you will only need to print particular data. In such cases, highlight the data you want to print using your mouse or the shift key and direction arrows. Once you have highlighted all the data you want to print, choose Print Selection in the print dialogue.
Automating tasks with macros
A macro is a set of instructions that help automate complicated or repetitive tasks. These can be written in a programming language/script or recorded within the software.
Recording a macro
Although you can write your own macros, the easiest method for creating a macro is to use the macro recorder (found in most spreadsheet software). When you record a macro, information about each step you take as you perform a series of commands is stored. You can then run the macro in order to repeat, or play back, the commands in the same order.
For example, a shopkeeper may want to see a graph of their sales each week based on data in a spreadsheet. Rather than going through all the steps required to manually produce this graph every week, they can do it once and record the steps to create a macro.
They can then assign this macro to a specific button on the spreadsheet's toolbar, or to a combination of keys (a shortcut).
Once this has been done, they only need to click the assigned button or use the shortcut once to run the macro and produce the required graph.
